Overview

Indiana commissions notaries through INBiz for an eight-year term. Currently commissioned, active notaries may apply for a separate Remote Notary authorization: online form, remote education, exam, and a $100 fee, using only an SOS-approved remote technology vendor.

Who Can Apply

To be commissioned as an Indiana notary public, you must meet all of the following:

Indiana connection

Be a legal resident of Indiana or primarily employed in Indiana, and at least 18. Do not be disqualified under IC 33-4-13 or IC 5-8-3-1.

Limited criminal history

Upload an Indiana State Police Limited Criminal History Record no older than 30 days. INBiz lists a $16.32 fee to obtain that record.

$25,000 bond and education

Maintain a surety bond of at least $25,000. All applicants take a notary education course and pass an exam after paying the application fee (included in the $75).

If you already hold an Indiana commission, apply for Remote Notary from the dashboard

Remote authorization is only for currently commissioned, active notaries.

Part 1: Traditional Indiana Notary Commission

Skip this section if you already hold an unexpired Indiana notary public commission. You cannot apply for remote authorization until this is in place.

Review the official how-to

INBiz Notaries and Indiana Notary Public Guide. Processing after the exam is listed as about 5–10 business days.

Complete traditional notary education

Pay the application fee first; then take the course and exam. The $75 initial/renewal fee includes education and exam access. Continuing education is $50 every two years (three courses over the eight-year term). Missing a CE deadline permanently expires the commission.

Obtain a $25,000 surety bond

As of July 2018, all notaries must maintain a surety bond of at least $25,000. The SOS does not sell bonds or recommend a company.

Submit the traditional application

Apply on INBiz Notaries with the bond certificate, matching signature sample, and timely limited criminal history. Fees are nonrefundable. Credit cards are charged a convenience fee.

Receive your commission

Use INBiz to obtain a copy of the certificate. Follow the seal requirements on the INBiz notary page (name exactly as commissioned, commission number, expiration, “notary public,” “State of Indiana”).

Part 2: Online (RON) Commission

Remote notarization uses two-way audio-visual communication on an approved vendor platform. Select at least one approved vendor on the application; the vendor must approve you before SOS processes the filing. Authorization lasts until the underlying commission expires. You do not receive a separate certificate—only a congratulations email.

Have these ready

X.509 digital certificate

Use an approved remote technology vendor’s platform (electronic document, signatures, and seal). The SOS does not monitor which services each vendor offers. See INBiz Notaries.

Electronic seal image

The remote platform captures the electronic seal as part of the electronic record. Follow the vendor and Notary Guide.

Identity proofing capability

The approved platform supplies the two-way audio-visual session and identity process required for remote acts.

Electronic journal and recording

The platform captures the notarial act as an electronic record. Follow the Notary Guide for journal and recording duties.

Read the official online-notary instructions

Use the Remote Notary tab on INBiz Notaries and the remote chapter of Indiana Notary Public Guide.

Complete online notary education

Complete the remote notary education course and pass the remote notary exam. Access is included in the $100 application fee.

Start the online commission application

Submit the Remote Notary Authorization application on INBiz Notaries. Select at least one approved vendor.

Sign with a digital certificate

Complete vendor onboarding so the vendor can approve you. SOS processes the application after that approval.

Upload your electronic seal

Complete seal and signature setup in the approved vendor platform as that vendor and the Notary Guide require.

Pay and submit

Nonrefundable $100 Remote Notary Authorization Application fee (includes education and exam). Notify SOS within 30 days if you change or add vendors.

After You Are Commissioned

Where you must be

The notary must be within Indiana when performing a remote notarization. The signer may be located outside Indiana.

Keep certificate and seal current

Renew the traditional commission before it expires, then apply again for remote authorization. Update name, address, email, and employer in INBiz within 30 days.

Remote authorization ends when the notary commission expires. Complete continuing education on time so the underlying commission stays active.

Common Questions

Q: Can I apply for the online commission first?

A: No. You must be a currently commissioned, active Indiana notary public, then apply for Remote Notary authorization.

Q: Does Indiana approve a list of RON platforms?

A: Yes. Use only an approved Remote Notary Technology Vendor listed on INBiz. The Secretary of State does not monitor what services each vendor offers.
